Process and event steering
In all companies, there is a need for automation of the progress and execution of different administrative processes. This could be e.g. Approval of invoices from vendors; the goods has been received, and then what should be done, or if the finished goods are ready to deliver, who should do what in turn? Of course you could rely on, that everybody in the organisation remembers to inform the next part in the chain, but you could also set up rules that helps the employees to perform their tasks in an efficient way. WorkFlow takes its basis in the above mentioned topics, and offers a module fully integrated into Microsoft Dynamics™ AX.
Availability
WorkFlow is available for Microsoft Dynamics™ AX 3.0 and 4.0.
WorkFlow in general
The workflow handling is based on a setup of a number of workflow descriptions. The descriptions can lead to either an information or activate an action. On each description it can be set up where in the process they should be active, e.g. in the item arrival, finishing a production order, delivering a sales order, etc.
A workflow description can be added to a number of employees, groups of employees or departments, that should be either informed or should perform an action in a given sequence.
Information about incidents/activities is transferred to a personal ?diary? or workbook, where the employee can see all the processes he or she is involved in. If you choose to transfer the information to an department, it is the employee responsible for that department (set up in Microsoft Dynamics™ AX's financial dimension "Department") that will receive the information.
When setting up the workflow, you can choose if you want to create a task in Microsoft Outlook, or if there should be send an e-mail to the employee in question.
The workflow is controlled by a marking in the workbook when the task is finished or send along to a colleague. If you end the task, it is automatically send along to the next person in the chain.
The workbook can also be used to see pending activities per person or the total activities for the whole company. And of course it is possible to search and filter on activities, so that you e.g. can see pending or delayed activities for a department or for the company as a whole.
